Stock Take

A Stock Take is a physical count of inventory that is reconciled against the system balance to identify and correct discrepancies.

Initiating a stock take

  1. Go to Products ??? Stock Take.
  2. Click New Stock Take.
  3. Select the area (Dry Storage, Cooler, Freezer, or All).
  4. Choose the date of the count.
  5. Click Generate Sheet.

The system generates a count sheet listing all active products in the selected area.

Capturing counts

The count sheet can be:

  • Printed and filled in by hand, then captured later, or
  • Entered directly into the system on a tablet or PC on the warehouse floor.

For each product:

  1. Enter the physical quantity counted.
  2. The system shows the book quantity (system balance) for comparison.
  3. Any discrepancy is highlighted in red.

Finalising

Once all lines are counted:

  1. Review the variance report (physical vs. book).
  2. Investigate large variances before finalising.
  3. Click Finalise Stock Take.
  4. The system automatically creates Stock Adjustment entries for all variances.

Warning: Finalising a stock take locks the count and commits all adjustments. This cannot be undone.

Stock take history

Completed stock takes are stored under Products ??? Stock Take ??? History for audit and year-end reporting purposes.
